Transfers calls to the appropriate person or voicemail, or answers the inquiry when possible. Knows the whereabouts of key staff persons. Has a working knowledge of the schedules of various activities. Makes daily entries into shower, laundry, telephone, and HopeMobile logs. Tracks outgoing long distance calls. Keeps track of days, mornings and afternoons off as well as vacations. Types flyers, letters and miscellaneous material for staff, client and office use. Transmits faxes. Distributes mail. Maintains monthly statistics due on the first Monday of the month. Files reports, logs and various correspondence. Administrative Assistant: Handles prison correspondence and minutes of meetings. Calls advisory board social services committee to remind them of monthly meetings. Maintains job descriptions and correspondence for corps work. Takes care of “thank you” letters. Makes phone calls and prepares correspondence as requested by officer-in-charge. Minimal Case Management: Distributes food boxes as approved. Has working knowledge of requirements for assistance programs, such as, REACH or rent. Provides information to people in need.
